Privacy Notice
This notice explains what happens to your information when you get in touch with Eremos Journeys or ask for one of our free guides through this site.
Who we are
Eremos Journeys is run by Eremos Journeys Ltd, a company limited by guarantee, Companies House number 16845661. It is a company, not a charity: the Charity Commission has not added Eremos Journeys Ltd to its register.
What we collect
When you fill in the guide-request form or the contact form on this site, we collect: your first and last name; your email address; which free guide you asked for, or what your enquiry is about and the message you send us; and whether you have said yes to hearing about future pilgrimages, along with the moment you said so.
We also keep a scrambled (hashed) version of the network address your device submitted the form from, kept only to stop the same automated system spamming the form. We never keep or see the address itself, only the scrambled version, and it is not used for anything else. We do not collect anything beyond what is listed here today.
Why we use it
We use your name, email address, and the guide, enquiry or message details you send us to reply to you — that is a legitimate interest we have as an organisation people are trying to reach, not something that needs your separate permission. We only email you about future pilgrimages and news if you have ticked the box saying yes; that is your consent, and you can withdraw it at any time by telling us.
How long we keep it
We keep a form submission for 24 months from the date you last contacted us, and then a scheduled process deletes it automatically. Twenty-four months is long enough to stay useful if you are still deciding about a pilgrimage that departs as far ahead as September 2027, and short enough to be a real limit rather than a promise made and forgotten.
Analytics and session recordings
With your consent, we use an analytics service called PostHog to understand how visitors use this site, including a recording of how a visitor moves around and interacts with a page on screen. Nothing is recorded until you say yes to the cookie bar at the bottom of the page — see our Cookie Notice for exactly how that choice works and how to change it. PostHog stores this information on servers in the European Union.
Backups
How long we keep backups. Like most organisations, we keep automatic backup copies of our systems in case something goes wrong. These backups are kept for a limited time: daily backups for 30 days, and one backup a month for 3 months after that. When your information is deleted from our main systems — for example, after a pilgrimage you took part in has ended, as described elsewhere in this notice — it will also drop out of our backups within that same window, so a deletion genuinely completes within a few months, not indefinitely.
Your rights
You have the right to see the information we hold about you, ask us to correct it, ask us to delete it, object to how we use it, and withdraw your consent to marketing email at any time. If you are unhappy with how we have handled your information, you can also complain to the UK data protection regulator, the Information Commissioner's Office (ICO).
